Why do I need to back up my Office 365 mailboxes?

You may believe that Microsoft fully backs up Office 365 data as part of the subscription, but this is not the case. Office 365 was not built to provide data protection services.

Microsoft does not provide Office 365 mailbox backup and recovery

Office 365 subscriber data is not backed up by Microsoft as part of their subscription. Microsoft does not provide Office 365 data protection services.

• Microsoft provides the necessary infrastructure and must ensure that Office 365 works. However, as an Office 365 subscriber, it is up to you to protect your Office 365 data from aspects such as:
  • human error (for example, deleted items)
  • hacker and malware attacks
  • malicious user actions
  • etc.
• Microsoft doesn't provide native backup options for Office 365. It includes some very basic archiving, retention and recovery features, but cannot guarantee full and speedy restoration of data loss.

That’s why you need to use a reliable backup and recovery solution to save your skin when things go wrong and to give you peace of mind.

Microsoft can’t help with unexpected data loss or damage

Sales Questions

Is subscription pricing per user or per mailbox?

Pricing is per mailbox not per user. If one mailbox is used by multiple users, the fee is for the mailbox rather than for the number of people who have access to it.

For example, that if a company has a forwarding email address like [email protected], which forwards emails to [email protected] and [email protected], then that counts as 2 mailboxes in total, not 3 - the forwarding address ([email protected]) does not count as a mailbox since it is just a forwarding email.

What does pricing include?

Pricing is per mailbox. It is a single annual or multi-year subscription that includes:

• Mailbox backup
• Storage of backed up data
• Access to a central management console
• Round-the-clock technical support

There's a minimum starter pack subscription that includes 10 mailboxes per year. You can scale up to tens of thousands of mailboxes.

Are there no storage costs?

No storage costs apply. Storage is part of the all-inclusive price per mailbox. You have access to unlimited storage per mailbox, within acceptable usage levels.

Does Altaro charge extra when I perform a restore?

No. We charge one fixed all-inclusive price.

What if I have less than 10 mailboxes to back up?

Our starter pack includes 10 mailboxes per year and enables you to start with as few mailboxes as you wish. For example, if you wish to start with 5 mailboxes, you can – however, you will be billed the minimum price for the starter pack.

Technical Questions

Do I need to download or install anything to trial Altaro Office 365 Backup?

There's no installation necessary. Simply sign up and connect an Office 365 account. Backups are taken automatically and saved to Altaro's Azure infrastructure.

How many mailboxes can be backed up?

Any number of mailboxes can be backed up. There's a minimum of 10 mailboxes required per year.

How frequently are mailboxes backed up?

Each mailbox is backed up to a maximum of 4 times a day. This is seamless to the user and takes place automatically – no interaction is required on the user's part.

Can we use our own storage for the backups instead of Altaro's Azure infrastructure?

All Office 365 storage is handled by Altaro and this cost is included in the price per mailbox per month. Data is stored in MS Azure blob storage. It is not possible to store the data elsewhere. There are currently no plans to allow storage to on-prem repositories or other storage accounts / cloud storage.

If we delete the Office 365 mailbox but want to keep the data, can we keep the backup?

Yes, there is an option to stop mailbox backups and retain the data. As long as the subscription is active, the content will be retained.

How long is backup data retained?

Indefinitely. Data is kept forever until a mailbox is removed from subscription or subscription is stopped.

Where is Altaro Office 365 Backup data hosted?

Altaro’s Office 365 Backup data is stored at rest in Microsoft Azure West Europe (Netherlands). This location was selected after a due-diligence process that considered the physical security, certification, scalability, reliability, security and financial stability of the location.

What security mechanisms are in place to protect storing and transmission of data?

All backup data is protected by AES 256-bit encryption at rest.

All data transmissions with third-party APIs (e.g., Office 365) occur over TLS encryption.

All authentication user interaction (login, setting changes, subscription management and accessing backed up data) occurs over TLS encrypted channel.

Administrative access to Altaro’s infrastructure is controlled through role-based access and centralised account management that provides improved monitoring of accounts and access.

Altaro’s engineering teams proactively monitors and maintains the infrastructure 24/7.

Does Altaro Office 365 Backup back up OneDrive and SharePoint?

Not yet – this is currently in development, however.

Will you do backup for Gmail?

Currently there are no plans to support G Suite (Google's office suite, including mail service).
